If you're a registered tax agent in Australia, the "Tax Agent Portal" is the door you walk through every day to talk to the ATO on behalf of your clients. The portal itself has been rebranded — it's now called Online services for agents — but the workflow is the same: sign in, pick a client, see their ATO position, lodge or request. 1. What replaced the old Tax Agent Portal
The classic Tax Agent Portal was decommissioned and replaced by Online services for agents. Everything you used to do in the old portal — client lists, activity statements, income tax account balances, lodgement history, correspondence, payment plans — lives here now, in a modern responsive interface that works on a laptop or a tablet.
Alongside it are two related surfaces you should know about: Online services for business (which your clients use directly for their own affairs) and ATO app (which individual clients use on their phones).
2. Access: myGovID + RAM
You no longer log in with an AUSkey or a shared username. Access is per-person via myGovID (a personal digital identity app) linked to your practice through Relationship Authorisation Manager (RAM). The setup, one-off per staff member, looks like this:
- Download the myGovID app and verify your identity to at least "Standard" strength.
- Your practice principal signs in to RAM and adds you as an authorised user against the practice ABN.
- You accept the RAM invitation from your email, and can now sign in to Online services for agents.
Every action you take is logged against your myGovID, so the audit trail is per-person rather than per-shared-login. If a staff member leaves, the principal revokes their RAM authorisation and access ends immediately.
3. Adding and managing clients
Your agent list is the master list of every client your practice is linked to. To add a client, use Client details → Add client, enter the TFN or ABN, and confirm the identifying details. From late 2022 the ATO also requires client-agent linking for most non-individual clients — the client authorises the link from their own Online services for business before you can act.
For a smooth onboarding, most firms send the client a written guide explaining how to nominate the agent in Online services for business. This is a common friction point — it's worth having a template email and a short screen recording ready.
4. The parts of Online services for agents you'll use most
- Client details — TFN, ABN, addresses, authorised contacts, agent-linking status.
- Income tax — account balance, lodgement history, statement of account, payment plans.
- Activity statements — prepare, lodge and revise BAS/IAS directly.
- Communication — the client's ATO inbox and correspondence preferences.
- Reports and forms — pre-fill reports, income statements, PAYG payment summaries.
- On demand reports — client lists, lodgement due dates, outstanding activity statements — the reports firms live off in October and February.
5. Lodging returns: portal vs PLS software
You can lodge activity statements, fringe benefits tax returns, and some amendments directly through Online services for agents. Income tax returns for most firms go through a Practitioner Lodgement Service (PLS) enabled software package — Xero Tax, MYOB Tax, LodgeiT, Class, and similar — which talks to the ATO via the PLS APIs and syncs status back into your workflow.
Whether you lodge in the portal or in PLS software, the ATO record of truth is the same. What changes is where the return sits before lodgement — inside your practice software's job workflow rather than the ATO portal.
6. Lodgement program dates
Registered agents lodge under the ATO lodgement program, which staggers due dates through the year based on the client's tax outcome. The key dates most firms plan around are:
- 31 October — non-lodgers from prior year and clients with prior-year returns outstanding.
- 15 January — large/medium entities, taxable head companies.
- 31 March — companies and super funds with total income > $2m.
- 15 May — remaining individuals, trusts, companies and super funds.
Online services for agents shows every client's due date under Income tax → Lodgement history and in the on-demand lodgement report. Firms typically pull the report weekly during peak season.
7. Where a client portal fits alongside the ATO portal
The ATO portal is where you talk to the ATO. It's not designed for the messy human work of getting information out of clients — chasing PAYG summaries, collecting receipts, getting the engagement letter signed, keeping the client informed while you wait for a private ruling.
