How Tax Agent Portal helps avoid double bookings

Imported Calendly appointments and TAP-native appointments live in the same firm workspace. When a Calendly event is imported, its time can block the equivalent slot in the TAP scheduler so the same slot isn't offered again through your built-in booking page.

This is a webhook and sync-based flow rather than a live query against external calendars. It relies on Calendly delivering webhook events reliably to Tax Agent Portal. In rare cases where webhook delivery is delayed or a booking is created directly in an external calendar that we don't sync with, a duplicate slot can appear until the next sync completes.

To keep the flow healthy, firm admins can trigger a manual sync from the Calendly settings card at any time, and the appointments page shows every booking in one list so staff can spot and reconcile conflicts quickly.
